Privacy Policy
This policy explains what personal information Emily Houltram Coaching collects about you, how we use it, who we share it with, and the rights you have. We are the data controller for the personal information we hold about you.
1. Changes to this policy
We may update this policy from time to time. When we do, we will post the revised version on this page and update the "Last updated" date above.
2. Information we collect
Information you give us, for example when you join our email list, book a call, buy a product or contact us:
- Your name and email address
- Booking details and anything you share with us about your business
- Payment confirmation and billing details (payments are processed by our payment provider, and we do not store your full card details)
- Messages and correspondence you send us
Information we collect automatically when you use our website, such as your device, browser, approximate location and how you interact with our pages, collected through cookies and similar technologies.
3. How we use your information & our legal bases
- To provide our services: processing your booking or purchase, arranging and delivering your session, and sending related communications (legal basis: performance of our contract with you).
- To send you our newsletter and marketing: where you have signed up or bought from us (legal basis: your consent, or our legitimate interest in telling existing customers about relevant services; you can opt out at any time).
- To run and improve our website and business, and to keep it secure and prevent fraud (legal basis: our legitimate interests).
- To meet our legal obligations, such as keeping records for tax purposes.
4. Email marketing
Our newsletter, "The Long Story", is sent using an email marketing provider. When you subscribe, your name and email address are stored with that provider so we can send you our emails. Every email includes an unsubscribe link, and you can opt out at any time.
5. Cookies
Our website uses a small number of cookies and similar technologies to help the site work, remember your preferences, and understand how the site is used. You can control or reject cookies through your browser settings, though some parts of the site may not work as well if you do.
6. Who we share your information with
We do not sell your personal information. We share it only with trusted service providers who help us run our business, and only so far as they need it to provide their service to us. These include:
- Our email marketing provider (to send our newsletter)
- Our payment and checkout provider (to take payment)
- Our scheduling and video-call tools (to arrange and hold your session)
- Our website hosting and infrastructure providers
We may also disclose information where required by law, or to establish, exercise or defend our legal rights.
7. International transfers
Some of our service providers are based outside the UK/EEA. Where your information is transferred outside the UK/EEA, we rely on appropriate safeguards (such as the UK addendum to the EU Standard Contractual Clauses, or an adequacy decision) to protect it.
8. How long we keep your information
We keep your personal information only for as long as we need it, to provide our services, maintain our relationship with you, and meet our legal, accounting and tax obligations, after which we securely delete or anonymise it.
9. Your rights
Depending on where you live, you have rights over your personal information, including the right to:
- Access the information we hold about you
- Ask us to correct or delete it
- Object to, or ask us to restrict, how we use it
- Receive a copy of it in a portable format
- Withdraw your consent at any time (where we rely on consent)
- Unsubscribe from our marketing emails
To exercise any of these rights, email us at hello@emilyhoultram.com. We may need to verify your identity first.
10. Children
Our website and services are intended for business owners and are not directed at children. We do not knowingly collect personal information from children.
11. Complaints
If you have a concern about how we handle your personal information, please contact us first so we can try to put it right. If you are still unhappy, you have the right to complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk, or to your local data protection authority.
